What to ask the operator, what to tell the florist and what works in a cabin, from our studio in Doral.

A surprise on a private jet works for a simple reason: the person cannot step out of it. For two or three hours, what you planned is the room they are sitting in. That is also why it has to be right before the door closes.

This is how to plan it in Miami, from the first call to the moment they board, with what we have learned taking flowers to the private terminals from our studio in Doral.

1. Ask the operator before you ask the florist

Everything that goes into the cabin is the crew's responsibility during taxi, takeoff and landing. If the aircraft is chartered, the request goes through the broker or the operator. If it belongs to the person you are surprising, or to their company, it goes through the captain or the management company.

Ask three things: where the flowers can sit during takeoff, whether loose petals are allowed, and at what time the crew wants the delivery.

2. Give the florist four details

The airport, the FBO, the tail number and the departure time. FBOs receive what goes on board at the front desk under the tail number, so that number is what gets the piece to the right aircraft.

If you want it set up inside the cabin, say so. We do it when the operator and the crew allow it, and you receive a photo once it is there.

3. Choose pieces that work in a cabin

  • One statement piece where it is seen from the door, usually at the bulkhead or on the credenza.
  • Single stems in clear glass along the aisle or by the windows, which say a lot without taking space.
  • A low piece for the table, so it does not block the view across.
  • Roses still closed, so they open during the flight and keep going after landing.

Leave out strongly scented flowers such as lilies or tuberose. In a closed cabin the scent takes over, and lily pollen stains leather. Open flames are not an option on board either: when a proposal calls for candlelight, battery candles are the usual answer.

4. Think about the landing, too

Sometimes the best moment is the arrival. Flowers waiting at the FBO lounge or in the car tell someone they were expected. The same four details apply: airport, FBO, tail number and arrival time.

Ideas by occasion

  • A proposal. The basket at the bulkhead, single stems along the aisle and the ring in your pocket. Ask after takeoff, when nobody can interrupt.
  • A birthday. A piece in their favorite color at their seat, with the card you wrote.
  • An anniversary. Red roses, closed, so they are still opening at the hotel days later.
  • Mother’s Day. A low arrangement at her seat for the flight home.
